Office Policies and Procedures

Welcome to Bass River Pediatric Associates.   Please take a few minutes to look over our Policies and Procedures.
Monday - Friday 8:00 A.M. to 5:00 P.M.            Saturday hours 8:00 A.M. -12:00 noon
Briarpatch Pediatrics (508 362-5727) Briarpatch Yarmouth Port , 179 Route 6A, Yarmouth Port MA 02675 provides Sunday coverage for our patients.
Patients are seen by appointment only. Our office will be available to help you schedule your child’s appointment at a mutually convenient time. We will see sick children on the same-day but by appointment only.  Well child visits should be scheduled in advance. You may call our office to schedule your child’s appointment anytime during our normal business hours.
Some visits may require more time. Please inform the front desk secretary upon scheduling an appointment if your child has a detailed problem such as ADHD, mental health issues or is in need of a procedure. This enables us to plan accordingly. 
If you are unable to make your appointment, please contact the office as soon as possible. There is a $25.00 Fee for No-Show Appointments. 
We have a nurse available to answer your questions during normal business hours. Because these calls are returned in order of medical urgency, you may be asked to leave a message. Our nurses will call you back in a timely manner on the same day. The nurses have been trained to answer most patient/parent questions. If there is any doubt they will happy to check with the doctor and give you a return call.
We are available to you 24 hours a day, 7 days a week if your child has an acute illness, injury or other medical emergency. Our on-call physician may be reached by calling the office number 508 394-2116. Call back is generally within the hour. If you do not receive a return call in one hour, please notify the answering service who will page the on-call provider again. We are at the mercy of technology that is not always perfect.
Prescription refills generally take 1-2 business days and are sent electronically to your pharmacy. Certain medications require a handwritten prescription and must be picked up at the office.
All medical records requests must be submitted in writing. You may fill out a medical records release form in our office or by downloading the form from our website at bassriverpediatrics.com. It will take 5-7 business days to process medical record copies. Please be aware that fees may be incurred on requests for multiple records. We also carry a fee of $2.00 for any requests for multiple printings/copies of Visit letters and Immunization Records. Visit notes and Immunizations as well as previous and upcoming appointment information is available (AT NO ADDITIONAL COST) with 24 hour access. For questions or the steps to follow for Patient Portal access, please contact our Front Desk or Practice Manager. 
Physical Exam Letters, Visit Notes and Immunization Records will ONLY be printed and  handed out AT THE TIME OF THE VISIT ONLY. For additional copies of these and other patient documents, please refer to the Patient Portal. For questions or instructions on how to access our PATIENT PORTAL, please speak to the Front Desk or Practice Manager.
Please allow 72 hours (or 3 business days) to process referral requests to other medical facilities. You may request insurance referrals by phone, or on our website at bassriverpediatrics.com
Please provide the correct mailing address and phone number to our office, and call us to update this information as it changes.
It is important that you give the correct insurance information and provide us with a current insurance card at every visit. If your insurance is eligible but you are listed with another practice, you will need to contact your insurance company to list a physician from Bass River Pediatrics as your pediatrician. We will gladly (re)schedule your appointment once it has been verified that we are the provider listed on your insurance.
Past due balances must be satisfied before your next scheduled appointment. If a balance exists on your account at the time of a visit, the office reserves the right to reschedule your appointment until the balance is paid.
Fees for services, along with unpaid deductibles and co-payments are due at the time of service.

All charges are ultimately your responsibility. Some services may not be covered benefits in your medical plan. If there is any problem with your insurance, you will be responsible to pay the balance.
Returned Checks – There will be a $20.00 fee for all returned checks

Our practice supports Immunization of all children. We follow the Immunization guidelines set by the AAP and CDC. Our Physicians and staff believe that Immunizations are the cornerstone to excellent preventative Pediatric Medical care.
